Before moving files offsite, most businesses want to know what it costs, how fast a file comes back, whether to store or scan, and what happens at end of retention.
By the box, quoted for your volume. That is the practical difference from renting a self-storage unit, where you commit to a fixed footprint and keep paying for the empty half. As boxes come out for destruction at end of retention, your cost goes down instead of staying flat.

Retrievals are handled locally out of our own facility, not routed through a national dispatch queue. That is one of the real advantages of using a Matthews company rather than a franchise — the boxes are here, in a building that is access controlled and monitored around the clock.
Depends on how often anyone touches them. Files that get pulled regularly are usually better scanned, since a searchable digital copy beats waiting on a retrieval. Files being held purely to satisfy a retention rule are cheaper to box and store than to digitize page by page.

The box is securely destroyed at the end of its lifecycle, with a Certificate of Destruction for your file. Because retention is tracked as part of the service, expired records do not quietly sit in storage for another decade accumulating both cost and liability.
That closed loop is the point of using a NAID AAA Certified provider for storage rather than a plain warehouse. On the intake side, you can use your own boxes if they are industry-standard size and in good condition — no requirement to buy new ones to get started.

Our mobile trucks shred at your curb, and you are welcome to watch the whole load go through the viewing station. Every job at Records Reduction is handled under strict chain of custody by background-checked staff, and it ends with a Certificate of Destruction listing the date, the location, and what was destroyed. The shredded paper is then baled and recycled, all of it. Nothing gets stored, sorted, or hauled away intact.
