However your firm already thinks about its files. Common setups index by client name, matter number, document type, and date, with each matter delivered as its own folder or a single combined PDF, depending on how your attorneys prefer to work. We build the scheme with you before production begins rather than handing you someone else's structure.
Index data is delivered as an Excel or comma-delimited file, which imports cleanly into most practice management platforms. OCR runs on every page, so full-text search finds a name or a docket reference even when it never made it into a field. Send a sample matter and we will scan it as a pilot so you can check the output.
Yes. Document prep is part of the job, not an extra you handle in-house. Staples, clips, tabs, and binder rings come out before scanning, and pages that are torn, taped, or on odd stock get flatbed treatment instead of the feeder. Advanced double-feed detection catches pages that try to slip through stuck together.
Oversize exhibits such as surveys, site plans, and plats go through our wide-format equipment and come back in the same delivery as the rest of the matter. Ledger-size pleadings and legal-size paper are routine. If you have a box that worries you, bring it in and we will look at it before quoting the project.
Over a long retention horizon, usually yes. Storage is a bill that arrives every month for as long as the box exists, plus a retrieval fee each time someone needs a file. Scanning is a one-time cost that ends the recurring line item and makes the same records searchable from a desk instead of a shelf.
The break-even depends on how many boxes you hold, how long your retention schedule runs, and how often files get pulled. Firms with a slow-moving archive sometimes do better storing the boxes and scanning on demand. We will run the comparison honestly, even when the answer is storage. There is no long-term contract on scanning either way.

Our mobile trucks shred at your curb, and you are welcome to watch the whole load go through the viewing station. Every job at Records Reduction is handled under strict chain of custody by background-checked staff, and it ends with a Certificate of Destruction listing the date, the location, and what was destroyed. The shredded paper is then baled and recycled, all of it. Nothing gets stored, sorted, or hauled away intact.
