HR Document Scanning and Indexing
Personnel Files That Stay Private and Stay Findable
Personnel records carry Social Security numbers, medical notes, and disciplinary history, so who touches them matters. HR document scanning across the Carolinas converts employee files, onboarding packets, benefits paperwork, and I-9s into indexed digital records, handled by background-checked staff inside a facility under video surveillance. Files are indexed by employee so a request takes seconds instead of a trip to a locked cabinet. Call (704) 351-0949.

HR Scanning FAQs
Concerns HR managers raise before handing over a file cabinet: confidentiality, separating medical documents, terminated employee records, and retention obligations.
Only screened production staff working inside an access-controlled area of our Matthews facility, which is monitored by video surveillance around the clock. Every transfer of custody is documented, so there is a record of where a file was and when. Records Reduction holds NAID AAA Certification, an audited standard that covers how we hire, train, and supervise the people who handle client material.
If your company policy says personnel records cannot leave the property, we offer on-site scanning and bring the equipment to you. Either way, nothing is subcontracted out to another company you have not vetted. Call (704) 351-0949 and we will walk through the controls in detail.
Yes, and it is a common request. Many employers keep medical and disability documentation, I-9 forms, and general personnel material in separate files for good legal reasons, and the digital set can preserve that separation. We index each category distinctly so the segregation carries over rather than collapsing into one folder per employee.
Tell us the split you want at the start and it becomes part of the prep instructions our team works from. Because we handle medical records for healthcare clients under HIPAA, the discipline around sensitive subsets of a file is already built into how we operate. Send one employee file as a sample and check the structure before we run the rest.
Usually that is the best place to start. Terminated files still have to be retained for years, nobody pulls them day to day, and they are quietly consuming the cabinets your active records need. Converting them first frees physical space immediately and gives your team a low-risk look at the output before active files move.
It also puts a retention clock on something instead of nothing. Once a former employee's records pass their required holding period, the digital file can be deleted and any paper we are storing destroyed under a Certificate of Destruction. Boxes you are not ready to scan can sit in offsite storage priced per box in the meantime.
No, and that is deliberate. We are the only document scanning and imaging service in the area that does not require installing additional software to view your files. Records come back as open standard PDF and TIF, which every computer in your building already opens, and index data arrives as an Excel or comma-delimited file.
The practical difference shows up years later. There is no annual license to renew, no IT ticket when a laptop gets replaced, and no vendor holding your personnel history hostage if you decide to work with someone else. If your HRIS supports bulk import, the index file is built to feed it.
Watch Your Documents Destroyed, Then Take the Certificate
Our mobile trucks shred at your curb, and you are welcome to watch the whole load go through the viewing station. Every job at Records Reduction is handled under strict chain of custody by background-checked staff, and it ends with a Certificate of Destruction listing the date, the location, and what was destroyed. The shredded paper is then baled and recycled, all of it. Nothing gets stored, sorted, or hauled away intact.

“They pulled the truck right up to our building and we watched every box go in. Scheduling was easy, the price was exactly what we were quoted, and the certificate was in my inbox the same afternoon. This is how it should work.”— Verified Google Review
